SIGNATURES AND KSEF

Qualified signatures, seals and KSeF certificates

Not every certificate used with KSeF is a qualified signature. Separate authentication, permissions and the role of the KSeF certificate.

A GOOD START

Prepare the context.
Keep documents private.

  • Qualified signature: a person.
  • Qualified seal: an organisation.
  • KSeF certificate: a tool for KSeF.
01

Start with the person and system

Establish who will use KSeF and which accounting application they use. A sole trader, a company and an employee acting for an organisation can have different access needs.

02

A KSeF certificate has a specific purpose

The Ministry of Finance distinguishes certificates for authentication and for offline modes. They are system-specific certificates, not a general substitute for qualified signatures on arbitrary documents.

03

The tool does not grant all permissions

Possessing a signature or seal does not by itself establish the right to act for an organisation. Confirm permissions against current KSeF guidance and with the person responsible in the organisation.

04

How I can help

I can help identify the need for a signature or seal and agree its service scope. Accounting software configuration and tax matters require separate arrangements with your software provider or accounting adviser.
